Our privacy policy and how we use your data

This Privacy Policy explains how AMOS Technologies LLC, a Florida limited liability company (“AMOS,” “we,” “us,” or “our”), collects, uses, and protects personal data in connection with the AMOS platform (the “Service”), a compliance-focused management platform for Florida homeowners’ and condominium associations. AMOS is a business-to-business service used by community associations and their authorized representatives.

In providing the Service, AMOS acts as a processor (or service provider) on behalf of each community association, which is the controller of the association and homeowner records it manages through the Service. This policy describes both the data AMOS handles on an association’s behalf and the data AMOS collects as a controller for its own account-administration purposes.

1. Data We Collect

  • Account data. Information used to create and administer accounts, such as names, email addresses, phone numbers, association affiliation, and role (for example, board member, manager, or member).
  • Association and owner records. Data your association submits or generates through the Service, including homeowner and owner personal data, association records, uploaded documents, and compliance records maintained under Florida Chapters 720 and 718.
  • Usage data. Technical and usage information generated when you use the Service, such as log data, device and browser information, IP address, and actions taken within the application.
  • Payment-related data. Limited information needed to administer subscriptions and payment flows. Cardholder and bank account data is handled directly by Stripe; AMOS does not store full payment card numbers.

2. How We Use Data

  • To provide, operate, secure, and maintain the Service;
  • To authenticate users and enforce tenant isolation between associations;
  • To administer subscriptions and to facilitate association payment flows through Stripe Connect;
  • To send transactional and compliance-related communications, such as deadline reminders and account notices;
  • To provide support and respond to requests;
  • To improve and develop the Service, and to detect, prevent, and address security incidents, fraud, or misuse; and
  • To comply with legal obligations.

3. Legal Bases for Processing

Where applicable data protection law requires a legal basis, we rely on: performance of a contract (to provide the Service to your association); our legitimate interests (to secure, operate, and improve the Service) balanced against your rights; compliance with legal obligations; and, where required, consent. When AMOS processes association and owner records on behalf of an association, it does so under the association’s instructions as its processor.

4. Subprocessors

AMOS engages the following third-party subprocessors to provide the Service. Each is bound by contractual confidentiality and data protection obligations:

  • Supabase— database and authentication.
  • Amazon Web Services (AWS)— document storage and encryption (S3, KMS, and CloudFront).
  • Vercel— application hosting.
  • Stripe— payment processing (via Stripe Connect).
  • Resend— transactional email delivery.
  • Inngest— background job and scheduled task processing.

5. Data Storage and Security

We implement technical and organizational measures designed to protect personal data. Documents are stored in encrypted object storage with encryption at rest managed through AWS KMS, and are served only through time-limited signed URLs rather than public links. Access to association data is enforced at the database layer through row-level security, so that each association’s data is isolated and accessible only to its authorized users. Data is transmitted over encrypted connections. No system is perfectly secure, but we work to protect data commensurate with its sensitivity.

6. Data Retention

We retain personal data for as long as needed to provide the Service to your association, to comply with legal, tax, and recordkeeping obligations, to resolve disputes, and to enforce our agreements. Association and owner records are retained on the association’s behalf and in accordance with its instructions; following termination, Customer Data may be exported for a reasonable period and is then deleted in the ordinary course, subject to legal retention requirements.

7. Your Rights

Depending on your location, you may have rights to access, correct, update, delete, or restrict the processing of your personal data, to object to certain processing, or to request a copy of your data. Because much of the data in the Service is controlled by your community association, we may direct certain requests to the relevant association or fulfill them on its behalf. 8. Cookies

We use cookies and similar technologies that are necessary to operate the Service, including to keep you signed in, maintain session security, and remember preferences. For details on the categories of cookies we use, see our Cookie Policy.

9. Children’s Privacy

The Service is a business-to-business tool intended for community associations and their authorized representatives. It is not directed to children, and we do not knowingly collect personal data from minors. If you believe a minor has provided personal data through the Service, please contact us so we can address it.

10. Changes to This Policy

We may update this Privacy Policy from time to time. If we make material changes, we will provide notice through the Service or by other reasonable means and update the “Last updated” date above.
